Graduate Banquet Planning

Hey Parents of Juniors - It's time to start planning for the Class of 2019 Graduate Banquet.  As you know, we ask for the help of all of our parents of 11th grade students (who do not also have a senior) in planning and pulling off this annual event.  As a result, the parents of our Graduating Seniors never have to worry about the planning or details of the Graduate Banquet. 

The Graduate Banquet is scheduled for Sunday, May 19 at 6:00pm.  It will last for about an hour and a half.  All of the graduates and their families are invited to attend.  We are also inviting the entire youth group and their families along with anyone else who wants to attend.  We want this to be a "youth group and families event."  As such, we want you and your entire family to plan on eating and enjoying the evening, even if you're working during the banquet in the kitchen or coordinating our servers. 


Below you'll find a description of areas in which we need help.  Please look at these areas and decide which ones you can help with.  With all of our families of juniors helping out, we can divide the jobs up between all of us and hopefully no one will feel a huge burden.

Description of help needed

 

Here's what we’ll take care of: 
Communication, invitations, tickets, decorations, facilities, senior video, Senior booklet, Bibles, activities for the evening of the dinner and the food/caterer…


Areas where we need help:  (if you can, sign-up for more than one.  You can sign-up for these by following the link above.)


Set-up after 10:15 service - approx 11:30 until 12:15 on Sunday, May 19 (usually takes less than 45 minutes)
Clean-up after - 7:45 until 8:15 on Sunday May 19 (can go quicker if everyone helps)
 

If you can come and bring your family for the set-up and the clean-up, that would be so very helpful.
 
Also, we invite you and your family to come and support our seniors during the banquet.  Some junior families come and serve in the kitchen and then sit-down to enjoy the banquet.  Others come and serve in the kitchen and stay in the kitchen.  Others just come and enjoy the banquet.  Regardless of what you do, we hope you'll come.

 
In addition to the set-up and clean-up, we have a few additional needs:

Senior Gift Table Set-up - Sometime between Wednesday night, May 8, and Saturday, May 11, we need someone to help set-up and cover tables with tablecloths.  We'll need approximately 4 of the rectangular tables from the AFC Center closet set-up in the Great Hall.  We also need tablecloths from the kitchen closet to cover these tables.
 
Kitchen help and Serving - 5:00pm until after food is served at the banquet.  We need 8+ parents who can help in the kitchen on the night of the banquet.  Help prep food, drinks, serve food, etc.  Feeding 150+  people doesn't just happen, and lots of things come up...we just need some help with these things. 
 
Grill Fajita Meat - AFC has a big charcoal grill (or we can use our youth ministry's big propane grill) to grill fajita meat for the meal.  We need someone(s) who will help with this on Sunday afternoon. 
 
Table Decorations - (Milayna has already offered the use of some of the decorations for 20 tables.  If you're willing to help with decorations, we'll tell you what we already have.)  We need someone to help coordinate table centerpieces and put them on the tables.  Nothing elaborate is needed.  And we can give ideas or we'll just say "Pinterest."  We have some money that we can spend on this.  Not a lot, but some.  (Also, if anyone else has a knack for decorations and wants to do more than just table centerpieces, that is great.  No pressure, but if someone wants to, let us know.)  All table decorations need to be done by around 5:00pm.  This can be an individual or multiple parents can team up on this.
 
Help Hang Senior Posters - We will have a poster for each senior.  We will need help hanging the posters sometime on Sunday afternoon.
 
Server Coordinator - 5:30pm until after dessert is served.  We'll get the juniors to come...and we'll help talk through everything that is needed with you and the juniors...we just need someone who can make sure things go well during the meal.  This means making sure they are taking care of each table, refilling drinks, picking up plates, serving dessert, etc.
 
Dessert Coordinator - Someone to help decide on a dessert and then get the dessert here on the night of the banquet.  In the past we have done everything from a big cake(s) with grads names on it to individual cakes to cake and ice cream to cheesecake.  Anything is fine. 
 
"Photo-booth" area - We have quite a few items from the two past years' banquets.  You could add more if you want, or just use what we have.  No need to provide a camera - all families will have theirs.  We have a backdrop we can use.  We just mainly need helping hanging the backdrop and helping put all photo-booth items out and making sure everything looks good. 

Tablecloths - Wash and hang 4-5 tablecloths and bring them back to the kitchen closet within a week after the banquet.
